For parents and guardians
These forms are intended for adults. The interest list asks for a parent or guardian’s name and email, optional phone and grade-level information, and a count of interested children. The interest list does not ask for children’s names. When registration is open, a parent or guardian provides the student’s name, grade, prior participation, and adult contact details. Additional date of birth, school, address, or emergency contact fields appear only when required for that session. Please do not enter diagnoses or medical information; request a private accessibility conversation instead.
How information is used
Interest submissions help the program estimate family interest and share program announcements and registration links with your permission. Contact submissions are used to respond to questions. Entries are stored in the site’s database and available to authorized administrators. We also record submission times and the time and version of your consent. Short-lived abuse-prevention records use a hashed network address to limit repeated submissions.
Registration and High School Ambassadors
Registration details are used to allocate places, maintain a session waitlist, record payment status, and administer the program. The session policy and photography choice shown at submission are recorded with the time of acknowledgement. High School Ambassador applications record prior participation, school and grade, availability, and areas of interest. An eligible applicant aged 18 or older or a parent/guardian supplies the contact details. These records are available only to authorized staff and are not public.
Form entries remain in the current page when moving between registration steps or after a failed submission. They are not saved as drafts in browser storage.
Card payments
When you choose card payment, Stripe receives the adult payer’s name, email, billing details, tuition amount, and a payment reference. Card numbers and security codes are entered directly on Stripe’s hosted page. The site stores payment references, amounts, and status to reconcile tuition and refunds; it does not send student names or grades to Stripe.
Email updates
When email delivery is connected, the email provider receives the adult’s address and message content to deliver interest confirmations and program updates. The organization may receive a notification of a new interest entry. Email delivery status is stored with the entry. We do not use interest-list information for advertising. Use the unsubscribe link in an invitation, or email us, to stop program invitations.
Storage and service providers
The website uses OpenAI Sites and its hosting infrastructure, including Cloudflare database storage. Authorized administrator sign-in uses ChatGPT. A configured email provider may process program invitations. This website has no advertising pixels or third-party analytics. Essential sign-in and hosting cookies may be used by the platform.
Retention and deletion
Interest entries expire after 12 months. Expired interest records and contact messages older than 12 months are removed when the administrator dashboard or interest submission workflow next runs. Administrator exports and provider logs require separate deletion procedures. Contact us to request access, correction, removal, or an earlier deletion. Hosting and provider backups may have separate retention periods.
Enrollment and volunteer records remain available for program administration until removed by the team. To request removal, contact us. Withdrawn records can be removed from the private roster along with their related activity or assignments when they are not linked to financial records. Records linked to payments require a separate retention and privacy review; exported copies require separate handling.
Photographs and external links
Historical program photographs are hosted on this website. Contact us if you have a question or concern about an image. Facebook and map links open external services with their own privacy practices; those services are not embedded in the website.
Security
The site restricts administrator access and validates submissions on the server. No card details are collected by these forms. No online service can guarantee absolute security.
